Task Completion Summary (E10:F12): Here, you’ll find the percentage of completed and pending tasks, which is used in the doughnut chart on the To-Do List sheet.

Calendar and Date Selection

On the left side of the screen, two calendars display the dates of the selected month and the previous month. A drop-down menu at the top of the first calendar allows users to select the desired month and change the dates displayed on both calendars. When a month is selected from the drop-down, the first calendar shows the dates of the selected month, while the second calendar shows the previous month.

Date Selection Logic Drop-down: This drop-down is specifically designed to change the logic of the date filter in this tool. The selected date behaves differently based on the chosen drop-down value.

Here are the three options and how they help in changing the date filter:

  • For Selected Date: Shows tasks for the selected date only.
  • For Selected Date Month: Displays tasks for the entire month of the selected date.
  • All Dates in Master Sheet: Shows all tasks from the Master List Sheet and leaves the date field blank since it’s not applicable.

Date Input Field: You can manually enter a task due date or pick one from the calendar. Make sure the date is valid if you’re entering it manually.

Note: Any changes made to the above controls (drop-downs and date field) will trigger an update in the Master List Sheet and refresh the task list based on the selected filters and date.

Add/Update Button: The last control to the right of the Date Input Field is the ‘Add/Update’ button. While changes to the drop-downs and date field will automatically update and refresh the task list, you can also manually update the task details in the Master List and refresh the activity list by clicking this button.

Activities and Task List

Task List : Below the Task Filters and Controls, a list shows task details with columns for ‘S. No.’, ‘Due Date’, ‘Task Name’, ‘Priority’, ‘Status’, ‘Deferred Date’, and ‘Remarks’.

When a date is selected or filters are applied, the tool lists all activities in this section based on the selected filters and date. While working on any specific task, you can change the Status, Priority, provide a Deferred Date if the Status is Deferred, and add remarks to the task. After making changes, clicking the ‘Add/Update’ button saves the data to the Master List Sheet.

Users cannot change the ‘Due Date‘ or ‘Task Name‘ of existing tasks. The tool will retain the original values when updating the task to the Master List Sheet.

If a task is already marked as ‘Completed‘ or ‘Deferred‘, users cannot change the status and other details. The tool will ignore changes and keep the actual status and other details as it is for completed and deferred tasks.

To add a new task, users must enter a valid Due Date, Task Name, Priority, Status (optional), and other details in the blank row of the To-Do List. After entering the details, clicking the ‘Add/Update’ button saves the new task and refreshes the list based on the current selections.

Whiteboard for Note

Whiteboard: On the right side of the screen, there’s a whiteboard for making a quick note for daily or future reference. It’s a convenient space for jotting down quick thoughts or reminders.

  1. Open the Tool: Open the Excel workbook containing the Ultimate To-Do List & Daily Activity Tracker.
  2. Select the Month: Go to the To-Do List sheet. Use the drop-down menu at the top of the first calendar to select the month you want to view.
  3. Choose the Date:
    • Check the ‘Use Calendar to Select the Date’ box.
    • Click on a date in either calendar to view or manage tasks for that date.
    • Uncheck the calendar box if preferred.
    • Enter the date manually in the ‘Activities Date’ field (cell O15).
  4. View Task Summary: Check the dashboard in the middle of the screen for a summary of tasks, including counts and percentages by status and priority.
  5. Apply Filters:
    • Choose a priority level (High, Normal, Low) from the Priority drop-down menu.
    • Select a task status (e.g., Not Started, In Progress) from the Status drop-down menu.
    • Pick a filtering option from the Date Selection Logic drop-down. (Selected Date: Tasks for the chosen date; Selected Date Month: Tasks for the entire month of the selected date; All Dates in Master Sheet: Shows all tasks without a date filter.)
  6. Add a New Task: Enter details (Due Date, Task Name, Priority, Status, etc.) in the blank row at the bottom of the task list. Click the ‘Add/Update’ button to save and update the task list.
  7. Update an Existing Task: Modify details such as Status, Priority, Deferred Date, and Remarks. Click the ‘Add/Update’ button to save changes.
  8. Use the Whiteboard: Write quick notes or reminders on the whiteboard located on the right side of the screen.
  9. Access Help: Check the ‘Show Help’ box at the bottom of the second calendar to view a pop-up with explanations of tool features.
